A leading player in the automotive industry based in Belgium sought to enhance its recruitment platform to improve job offer management and streamline the candidate experience. The company needed a robust, scalable solution to centralize job offers, integrate with external HR systems, and ensure accurate, real-time job posting for candidates.

Challenges

The client faced several challenges with their existing recruitment platform:

  • Fragmented job data: Job listings were dispersed across multiple systems, causing delays and inaccuracies in updates.
  • Manual publication processes: The process of posting job offers was prone to delays and errors, affecting operational efficiency.
  • Limited candidate experience: The platform offered minimal filtering capabilities and lacked geolocation features, making it difficult for candidates to find relevant opportunities.
  • Outdated user interface: The platform’s design was not aligned with modern usability standards, impacting the candidate’s application experience.
  • Security concerns: The need for improved security, especially around sensitive candidate data, was a key consideration.

Our Approach

To tackle the challenges the client faced with their existing recruitment platform, we designed a comprehensive solution that combined the latest technologies with a user-centric approach. Here’s how we structured the solution:

  1. Building a Centralized Job Board on Drupal 10
    We developed a robust job board platform using Drupal 10, a flexible and scalable CMS known for its security and customization capabilities. The job board served as the central hub for all job offers, providing a unified interface to manage listings efficiently. The platform was integrated with the client’s SAP SuccessFactors HR system, allowing job offers to be automatically pulled into the platform via API. This ensured the data was always up-to-date and removed the manual effort of inputting job postings.
  2. Automating Job Offer Imports and Publications
    One of the key pain points was the manual job offer import process. To resolve this, we set up an API integration that automatically synchronized job postings between the client’s HR system (SAP SuccessFactors) and the new platform. Additionally, we implemented cron jobs running every 3 hours to ensure job offers were consistently updated, preventing the issues of delayed or missed postings. By automating the import and publication workflows, we eliminated human error, reduced delays, and freed up resources for more value-added tasks.
  3. Geolocation Filtering with Custom Taxonomy
    To improve the candidate search experience, we integrated geolocation filtering based on postal codes and radius, which was crucial for a localized job search. Using Drupal taxonomy terms with latitude and longitude data, we created a custom solution that enabled candidates to search for job opportunities within a specific geographical range. This feature made it easier for job seekers to find relevant positions close to their location, enhancing their overall experience on the platform.
  4. Streamlining the Application Process with Webform
    The client needed a structured way for candidates to apply for jobs. To address this, we developed a custom webform to manage applications. The form was built with validation logic, ensuring only jobs that were published were available for candidates to apply to. This prevented the system from showing jobs that had already been filled or were not yet posted. The form also collected all necessary candidate information in a clear, organized manner, ensuring an efficient and straightforward application process.
  5. Ensuring Security and Compliance
    Given the sensitive nature of job applications, security was a critical consideration. We integrated Single Sign-On (SSO) to streamline access for company employees, ensuring secure and easy login management. In addition, all candidate data was encrypted to ensure the protection of personal information and ensure the platform met GDPR compliance standards. We built the platform with strong security features, safeguarding sensitive data throughout the application process.
  6. UI/UX Overhaul for a Modern Candidate Experience
    To improve the overall usability of the platform, we redesigned the user interface with a modern, intuitive custom theme. We worked on enhancing the visual design and flow of the platform to ensure a smooth, user-friendly experience for both candidates and recruiters. The platform was also designed to be mobile-responsive, ensuring accessibility on a variety of devices, allowing job seekers to apply for jobs on-the-go.
  7. Agile Project Management and Iterative Development
    We adopted an Agile methodology for this project, ensuring flexibility and adaptability throughout the development process. The project was divided into epics and user stories, with frequent sprints to deliver key features in stages. The Agile approach allowed us to prioritize tasks, respond to feedback promptly, and ensure the final product met the client’s needs. Tools like Jira were used to track progress, collaborate, and maintain transparency with all stakeholders.
  8. SEO Integration and Ongoing Maintenance
    In addition to the development of the platform, we ensured the job board was SEO optimized to improve visibility in search engines and attract more candidates. Post-launch, we also provided ongoing support to ensure the platform remained up-to-date, secure, and fully functional. The solution was designed for easy maintenance, allowing the client’s internal teams to manage the platform independently, with minimal technical expertise required.

Final Results

By the end of the project, we achieved the following results for the client:

  • Automated API Sync: Job offers were automatically synchronized with SAP SuccessFactors, reducing manual effort and eliminating errors in job posting.
